How to Use This Wedding Budget Checklist (Print It Before You Book)
A wedding budget checklist works in a different order from a planning checklist. You are not doing these in sequence; you are pricing them, so the point is to see every line before any contract is signed. Print the list, then take it to every venue tour and vendor call.
Three columns matter. The check box means you priced it. Quote is the number with tax, fees and service charge included, which is rarely the first number a vendor says. Booked is the contract total once you sign, and the gap between the two columns is where most budgets go over.
If you already have a total and a split, start from the wedding budget calculator and use this list to check each category's lines against its share. If you have no total yet, how to plan a wedding on a budget covers the three numbers to settle first.
Venue and Rentals: 12 Line Items
The venue contract is the biggest one you sign, and it is where fees hide in plain sight. Ask what the rental fee includes before you compare two venues, because a venue that includes tables, chairs and cleaning can cost more on paper and less in total.

Overtime is the line couples price last and pay first. Ask for the hourly overtime rate in writing, and ask when the clock starts: at the end of the reception, or when the last vendor leaves.
Food, Drink and Cake: 10 Line Items
Catering is quoted per person and then grown by fees. The service charge is often 18 to 25 percent of the food and drink total and, despite the name, usually is not the tip. Ask for an all-in number per guest that includes service charge and tax, then multiply it by your guest count yourself.
Food, drink and cake (10 line items)
Photo, Video and Music: 8 Line Items
These three are priced by the hour, so decide the coverage window first. A photographer who starts with getting ready and leaves after the cake is about eight hours; one who covers the ceremony through the toasts is about four. The wedding day timeline guide shows where each block falls for a 2pm, 4pm or 6pm ceremony.
Photo, video and music (8 line items)
Attire, Rings and Beauty: 9 Line Items
Two people means two sets of lines, and alterations are the one almost every budget forgets. A gown bought off the rack still needs a hem and often a bust or side adjustment; a rented suit still needs a fitting. Put a number on alterations the day you buy, not the day of the first fitting.
Attire, rings and beauty (9 line items)
Flowers, Decor and Signs: 8 Line Items
Florist quotes are priced per piece, so the checklist is really a counting exercise: how many bouquets, how many tables, how many signs. Delivery, setup and breakdown appear as a separate line on most florist quotes and can run 10 to 20 percent of the flower total, so ask for it up front.
Flowers, decor and signs (8 line items)
Paper, Postage and Website: 6 Line Items
Paper lines are small and multiply by the household count, which is why the guest list template by household matters here. Postage goes out twice: once on the invitation and once on the RSVP envelope you prepaid, and a square or heavy invitation can cost extra per piece.
Paper, postage and website (6 line items)
Fees, Tips, Taxes and the Buffer: 7 Line Items
These seven lines are what turn a quote into a bill. Sales tax applies to rentals, catering and attire in most states, and some vendors add a processing fee of about 3 percent for card payments. Marriage license fees are set by your state or county, so look up the county clerk's page and write the real number.
Fees, tips, taxes and the buffer (7 line items)
The buffer is a line item, not what is left over. Our hidden wedding costs guide explains why 8 to 10 percent is the right size and when each payment usually comes due.
The Line Items Most Budgets Leave Off
Most of the lines that break a budget are not new categories. They are fees attached to lines you already have. Here are the ten we see missing most often, and the question that catches each one.
| Line item | Attached to | Ask this |
|---|---|---|
| Service charge | Catering | Is the service charge included in the per-person price, and is it the tip? |
| Vendor meals | Catering | How many vendors eat, and at what price per meal? |
| Cake cutting fee | Venue or caterer | Is there a fee for an outside cake, per slice or flat? |
| Corkage fee | Venue or caterer | If we bring our own wine, what is the charge per bottle? |
| Overtime rate | Venue, DJ, photographer | What is the rate per hour past the contract, and when does the clock start? |
| Event liability insurance | Venue | Do you require a certificate, and for how much coverage? |
| Alterations | Attire | What does a hem, bustle and bust adjustment cost here? |
| Second-round postage | Paper | Are RSVP envelopes prepaid, and does the invitation weigh more than one ounce? |
| Sales tax | Rentals, catering, attire | Does this quote include tax? |
| Card processing fee | Any vendor | Is there a fee for paying by card, and is a bank transfer free? |
Wedding Budget Checklist PDF: Download and Print
The free printable wedding budget checklist puts all 60 line items on one US Letter sheet, in the same seven categories as this page, with a short note on each line about what the quote should include. Each line has a check box, a Quote column and a Booked column, and four boxes at the bottom hold your total, quotes so far, booked so far and the buffer left.
Print it on plain paper at 100 percent scale, and print two copies if you are splitting the vendor calls between you. If you prefer to print this page instead, use your browser's print option: the menus and sign-up boxes drop out and the seven checklists print as they appear here.

Turn the Checklist Into a Payment Plan
A priced checklist tells you what the wedding costs. It does not tell you when the money leaves your account, and that is the next problem: three deposits in the same month, a final balance due two weeks out, and a buffer that quietly gets spent on upgrades.
The Wedding Budget & Payment Planner takes every line on this checklist and adds the dates. Each vendor gets its base price plus tax, fees and service charge, each deposit gets a due date, and the cash flow tab shows what is due in the next 30 days and which month is heaviest. Use the code PETAL20 at checkout for 20 percent off.

Frequently asked questions
What should be on a wedding budget checklist?
Seven categories cover it: venue and rentals, food, drink and cake, photo, video and music, attire, rings and beauty, flowers, decor and signs, paper, postage and website, and fees, tips, taxes and a buffer. Our list has 60 line items across them, including the fees attached to other lines, like the service charge and cake cutting.
What wedding expenses do people forget?
Fees attached to lines they already have: the catering service charge, vendor meals, cake cutting and corkage fees, overtime rates, event liability insurance, alterations, the second round of postage, sales tax and card processing fees.
Is there a free printable wedding budget checklist?
Yes. The free 2-page PDF linked on this page puts all 60 line items on one US Letter sheet with a quote column and a booked column, plus boxes for your total, quotes so far, booked so far and buffer left.
How much should the wedding budget buffer be?
We suggest 8 to 10 percent of the total, treated as its own line item. Zola's 2026 survey found surprise costs averaged $3,314, which is about 9 percent of its $36,000 average wedding.
What is the difference between a wedding budget checklist and a wedding planning checklist?
A planning checklist orders tasks by time: what to do 12 months out, 6 months out and so on. A budget checklist orders costs by category so you can price every line before you book. Our free wedding planning checklist covers the tasks; this page covers the money.
