Questions to Ask Wedding Venues: 50 to Copy, Money First

The questions to ask wedding venues first are the money ones: the food and drink minimum, the service charge, tax, and what the rental fee really includes. Ask those on the first call, before you tour. Below are 50 questions sorted from most to least expensive, each with the answer to listen for, plus a printable checklist to take with you.

Safety first: Prices are examples with an as-of date. Always confirm with your own vendors. Please read our editorial guidelines before you start.

Key takeaways

  • Ask the money questions before you tour: minimum spend, service charge, tax and what the fee includes.
  • A service charge of 18 to 22 percent on food and drink is common (Joy, July 2026); on $15,000 of catering that adds $2,700 to $3,300.
  • 57 percent of couples in Zola's 2026 data paid a mandatory venue fee on top of other costs.
  • Get the rain plan in writing: a named backup space, its fee and the time the call is made.
  • Ask for the overtime rate per hour and the hard out time before you sign.

What to Ask a Wedding Venue First

Start with cost, because it rules out most venues fast. A venue whose minimum spend is above your whole budget is not worth a tour, no matter how pretty it is.

Fees are where quotes grow. Joy's 2026 venue questions guide (Joy editors, July 7, 2026) puts the usual service charge at 18 to 22 percent of food and drink, so $15,000 of catering becomes $17,700 to $18,300 before tax. Joy also suggests adding 10 to 30 percent to the rental fee for extras. Both figures were checked on October 23, 2026.

8What is the security deposit, and when is it returned? An amount and a refund date after the wedding.
9Are setup and breakdown hours included in the rental time?Yes, or the extra hourly rate.

11Is there a ceremony fee if we marry on site?A flat fee, or "included."
12Is a day-of coordinator included, or is one required? What the venue coordinator does, and any required outside planner.

Payment Schedule and Cancellation Questions

Most venues take a deposit to hold the date and the rest in two or three payments. Put every date in one place; our hidden wedding costs and payment schedule guide shows the usual order.

Payment and cancellation questions (October 2026)
#Question to askAnswer to listen for
13How much is the deposit to hold the date, and is it refundable?Usually non-refundable; get the amount in writing.
14What is the full payment schedule?Dates and amounts for every payment until the final one.
15When is the final guest count due, and can it go down?A date, and whether the minimum still applies.
16What happens if we cancel or postpone?A sliding refund scale by date, in the contract.
17What happens if the venue cancels or is sold?A full refund of everything paid.
18Do you accept credit cards, and is there a card fee?Card fee percentage, if any.
19Do you require event liability insurance?Yes or no, and the coverage amount.

Rain Plan and Weather Questions

An outdoor ceremony needs a backup you have actually seen. Ask to see the rain space set for your guest count, not empty.

Rain plan questions (October 2026)
#Question to askAnswer to listen for
20What is the rain plan for an outdoor ceremony?A named indoor room or a tent, not "we will figure it out."
21Can we see the backup space set for our guest count?Photos or a walkthrough with chairs set.
22Is there a fee for the backup space or a tent?A price, or "included."
23Who decides to move inside, and by what time?A decision time, usually the morning of or 24 hours before.
24Is there a heat or cold plan?Fans, heaters, shade or tent sides.
25Can the reception space hold the ceremony too?Turnover time, and where guests wait.
26Where do guests go if it rains during cocktail hour?A covered space close to the bar.
A clear tent keeps the outdoor view. Ask whether it is included or rented on the day. AI-generated image

Vendor Rules Questions

Vendor rules decide whether you can save on food, drinks and decor. An in-house-only caterer or bar removes your biggest place to cut.

Vendor rules questions (October 2026)
#Question to askAnswer to listen for
27Do we have to use your caterer or bar?In-house only, a preferred list, or open.
28Can we bring our own alcohol?Yes or no, corkage price, and licensed bartender rules.
29Is there a preferred vendor list, and is it required?Suggested only, or a fee if you go outside it.
30When can vendors arrive and when must they leave?Load-in and load-out times.
31Do vendors need their own insurance certificate?Yes or no, and the deadline to send it.
32Are there decor rules: candles, confetti, nails, tape?A written list of what is banned.
33Are there sound limits or a cutoff time for music?A decibel limit or end time, often for the neighbors.

Timing and Overtime Questions

Hours run out faster than couples expect, and overtime is billed by the hour with staff and bar. Know the rate before the dance floor fills.

Timing and overtime questions (October 2026)
#Question to askAnswer to listen for
34How many hours do we get, start to finish?Exact start and end times, including setup.
35What does overtime cost per hour?An hourly rate, including staff and bar.
36Can we decide on overtime during the reception?Yes, and who to ask on the day.
37When must everything be out of the venue?A hard time, and who packs up decor.
38Is there another wedding on the same day?Yes or no; if yes, how the spaces are separated.
39Can we access the space the day before?A rehearsal slot, and any fee.
Overtime is priced per hour. Agree who can approve it on the day. AI-generated image

Guest Experience and Logistics Questions

Capacity, parking and access decide how your guests feel. Have your guest list by household in hand so the seated number is real.

40What is the capacity seated with a dance floor?A seated number, not the standing capacity.
41How much parking is there, and is it free?Space count, and whether a shuttle is needed.
42Is the venue step-free for guests who use a wheelchair or walker?Ramps, an elevator and an accessible restroom.
43Is there a getting-ready suite, and from what time?A room and a start time.
44Where can guests stay nearby?Hotel names and distance; any room blocks.
45Is there a kitchen for the caterer?Prep space, power, water and ovens if needed.
46Can kids attend, and are there rules for them?Any minimum age, and a quiet room.

Frequently asked questions

What are the most important questions to ask a wedding venue?

The money ones: the rental fee and what it includes, the food and drink minimum, the service charge percentage, tax, and the overtime rate. Then the rain plan and vendor rules.

Is the service charge the same as a tip?

Usually not. Ask whether any of it goes to the staff. If it does not, plan a separate tip for the servers and bartenders.

How many wedding venues should you tour?

Two or three that pass the money questions on the phone is enough for most couples. Touring more mostly adds time, not choice.

What should I bring to a wedding venue tour?

This question list, your guest count, your budget range, a tape measure and your phone for photos of the rain space and kitchen.

When should you book a wedding venue?

Once you have a budget and a guest count, because both decide which venues fit. Popular Saturdays book first, so ask about Fridays and Sundays.
